Hotel Pre-Opening Checklist: How to Plan Staff Uniforms on Time

Opening a new hotel in Dubai or anywhere in the UAE involves thousands of decisions, and staff uniforms are easy to leave too late. Yet uniforms touch every department, need sizes for every employee and must arrive before training starts. This checklist walks you through planning hotel pre-opening uniforms step by step, so your team looks ready on day one.

Recommended uniform timeline

Start uniform planning early. Ideally, begin around six months before opening so there is time for design and approvals. If time is short, a programme can still be delivered when it starts at least 6–8 weeks ahead — design choices are simply narrower. A typical timeline:

Time before openingWhat to do
6 monthsSet the brief: brand, concept, departments and budget
5 monthsReview designs and fabric options; approve the uniform range
4 monthsApprove samples and finalise quantities per department
3 monthsSize staff as they are hired; place the bulk order
4–6 weeksDelivery, fittings and alterations
2 weeksIssue uniforms for training and soft opening

Step 1: Write the uniform brief

  • Hotel brand, interior concept and colour palette
  • List of departments and job titles, and which are guest-facing
  • Expected headcount per department, including part-time and seasonal staff
  • Budget per employee or per department
  • Any cultural, modesty or religious requirements for your team

Step 2: Plan uniforms by department

Each department needs a different balance of image, comfort and durability:

  • Front office and concierge: tailored suits, blazers or abayas, shirts, ties or scarves — your brand’s first impression.
  • Food & beverage: waiter and bartender uniforms, aprons and vests that are smart and stain-resistant.
  • Kitchen: chef jackets, trousers, aprons and hats in breathable, heat-resistant fabric.
  • Housekeeping and laundry: practical tunics or dresses with stretch and easy care.
  • Security, engineering and drivers: durable, functional workwear with clear identification.
  • Spa, recreation and pool: light, comfortable uniforms suited to warm and humid areas.

Step 3: Choose fabrics for the UAE climate

Guest-facing staff move between air-conditioned lobbies and hot outdoor areas, and back-of-house teams work in heat and steam. Choose breathable, crease-resistant fabrics that survive industrial laundry. Our guide to breathable work uniforms for the UAE heat covers this in detail.

Step 4: Calculate quantities

  • Plan at least three sets per employee for daily changes, and more for kitchen and housekeeping.
  • Add a buffer of around 10% for new hires, size changes and replacements.
  • Include accessories: name badges, belts, ties, scarves, aprons and hats.

Step 5: Approve samples and run a wear test

Ask for samples of each department’s uniform and have real staff wear them through a full shift. Check comfort, movement, washing performance and how the colours look under the hotel’s lighting before you approve bulk production.

Step 6: Size every employee

Collect sizes as staff are hired rather than waiting until the end. A measuring or fitting day at the hotel saves time and avoids costly re-orders. Provide separate fits for men and women and a full size range.

Step 7: Delivery, alterations and reorders

Plan delivery four to six weeks before opening so there is time for alterations. Have uniforms packed and labelled by department and name to make issuing simple. Finally, agree a reorder process with your supplier, so new staff and replacements can be supplied quickly after opening.
